Rosewood Partners Pty Ltd (ACN 663 470 148) are committed to protecting and respecting your privacy, and the Personal Information collected from you throughout our recruitment processes.

The information contained in our Privacy Policy sets out the basis on which the Personal Information collected from you, or that you provide to us, will be managed by us in connection with our recruitment processes, in accordance with the Australian Privacy Principles (APPs) that are set out in the Privacy Amendment (Enhancing Privacy Protection) Act 2012, which amends the Privacy Act 1988, as well as other applicable privacy laws.

In this Privacy Policy, references to “Rosewood Partners”, “we”, “us”, and “our” refers to Rosewood Partners Pty Ltd, the “website” refers to rosewoodpartners.com.aum.au, and “you” or “your” refers to any individual about whom we collect Personal Information. “Personal Information” in this Privacy Policy means any information that identifies you or could identify you.

Your Personal Information

We will only collect information that is necessary for us to provide you with suitable recruitment services. The type of information that we collect will vary based on how you engage with us. We collect Personal Information about:

  • Candidates
  • Clients and Suppliers, and potential clients and suppliers
  • Other individuals including, but not limited to, references, industry partners, investors, and members of the public who interact with us or visit our website.

Candidates

The Personal Information we collect and hold will depend on the type of candidate recruitment services that you require. In particular, we process Personal Information such as:

  • Identity (name, gender identity, and date of birth (only the day and month are required));
  • Contact details (email address, address, phone number, social media profiles e.g. LinkedIn, GitHub)
  • CV, resumé, and Portfolio of work
  • Details of previous employment history and education
  • Details of your skills and experience, including test results to verify this
  • Compensation expectations and your job preferences e.g. dream role
  • Your video, in the case you submit a video to us as a part of the recruitment process
  • The results of background checks;
  • Records of your progress through any hiring process that we may conduct.
  • Records of correspondence with you, or your referees and our clients provide to us in relation to you, that we have obtained for the purpose of assessing your suitability for employment.
  • Details of your visits to our website including, but not limited to, traffic data, location data, weblogs and other communication data, the site that referred you to our website and the resources that you access.

Rosewood Partners’ technology allows us to search various databases – some publicly available and others not, which may include your Personal Information (include your CV or resumé), to find possible candidates to fill our job openings. Where we find you in this way, we will obtain your Personal Information from these sources.

We may receive your Personal Information from a third party who recommends you as a candidate for a specific job opening or for our business more generally. 

Clients and Suppliers

When you enquire about or engage our services, or when you become a client or supplier of Rosewood Partners, a record is made which will typically include Personal Information about individuals in your organisation. The Personal Information we collect and hold will depend on the type of services that you require. This includes:

  • Identity (name, gender identity);
  • Personal contact details (email address, phone number, social media profiles e.g. LinkedIn)
  • Company contact details (email, phone number, address, and job title)
  • Information on your company that you provide us with including your preferences, company structures and processes etc
  • Records of correspondence with you, or our candidates or suppliers provide to us in relation to you, that we have obtained for the purpose of delivering our services.
  • Marketing preferences, interest in products or services or contractual relationships with us
  • Details of your visits to our website including, but not limited to, traffic data, location data, weblogs and other communication data, the site that referred you to our website and the resources that you access.
  • Any other Personal Information you provide to us or authorise us to collect as part of your interaction with us.
  • Other individuals

We collect Personal Information about other individuals such as references, industry partners, investors, and members of the public who interact with us or visit our website.

The kinds of Personal Information we collect will depend on the capacity in which you are dealing with us. In particular, for referees, we collect information for the primary purpose of determining a candidate’s suitability for work with us or through us. This includes:

  • Personal contact details (email address, phone number)
  • Company contact details (job title, email, phone number, and address)
  • Information that you provide us with about a candidate, including company and contact information, employment history and education, confirmation of identity etc
  • Confidential opinions about a candidate, their skills and experience, and suitability for work with or through us, or with our clients and suppliers.
  • Records of correspondence with you, or our candidates provide to us in relation to you, that we have obtained for the purpose of delivering our services.

You can always decline to give us any Personal Information we request, remain anonymous or use a pseudonym where practicable, but that may mean we cannot provide you with some or all the products or services you have requested. If you have any concerns about Personal Information we have requested, please let us know.

Sensitive Information

We receive and process sensitive Personal Information only when we are legally required to do so, or if you have provided consent and the information is reasonably necessary for one or more of our functions or activities. Sensitive information includes information or opinion about an individual’s financial information, criminal record or health information, racial or ethnic origin, political opinions, religious or philosophical beliefs, or membership of a political association, trade union or other professional body.

Some examples of when we may request sensitive Personal Information include:

  • Proof of Australian working rights and identity (such as passport or birth certificate)
  • Bank, tax file number, and superannuation details (if we need to make payments to you)
  • Under the equality of opportunity laws and the asylum and immigration legislation
  • Details of your next of kin and health information (e.g., where pre-existing conditions may be adversely affected by certain types of employment) and Vaccination status

Sensitive information will only be used by us:

  • For the primary purpose for which it was obtained, including in connection with our recruitment process.
  • For a secondary purpose that is directly related to the primary purpose
  • With your consent; or where required or authorised by law.
  • Website Privacy

When you visit our website, we may record and log information for statistical and website administration purposes. We do not attempt to personally identify you from this information. Your visit and use of our online services will automatically log information, including but not limited to:

  • Your server address
  • Your IP address, currently used by your device
  • The date and time of your visit
  • The pages accessed and documents downloaded
  • The previous site the individual visited
  • The type of browser used

We collect your Personal Information through our website when you provide it to us for the primary purpose of providing our services. This includes:

  • Requests for information about our services
  • managing subscriptions to our job alerts and newsletters
  • researching, developing, and expanding our services
  • employment opportunities 
  • informing you of our relevant jobs, events and services, and other opportunities that may interest you (you can ‘unsubscribe’ or ‘opt-out’ any time or contact us to let us know your preferences using the contact details below).

Our website also utilises cookies to track your online activities, including, but not limited to, registration, submissions, and information requests. Cookies are pieces of information that a website transfers to your computer’s hard disk for record keeping purposes. Most web browsers are set to accept cookies. Cookies in and of themselves do not personally identify users, although they do identify a user’s browser. If you do not wish to receive any cookies, you may set your browser to refuse cookies. This may mean you will not be able to take full advantage of the services on the website. 

If you leave our website and navigate to a third-party website, including via a hyperlink on our site, we cannot be held responsible for the protection and privacy of any information that you provide to third party websites. It is advisable to look at the privacy policy of other sites before disclosing Personal Information.

How We Use Your Personal Information

We will only use your Personal Information for the purposes for which we collected it. We use Personal Information to:

  • Facilitate the delivery of our services e.g. informing you of possible work opportunities, or relevant candidates for your business
  • Assess performance and our potential to provide future services
  • research and develop systems to assist us in providing our services to you
  • conducting voluntary surveys in order to gain feedback to improve the services provided by us
  • respond to requests and other general inquiries, manage mailing lists, newsletters, event invitations, improve and optimise our website and services
  • manage operations, security, business systems, infrastructure, and facilities: including IT security and management, financial management and processing, legal and professional services, data analyses, security, and emergency response
  • manage the relationship with employees and contractors

In delivering our services, it may be necessary for us to provide your Personal Information to third parties with whom we conduct business for the purposes for the purposes set out above. These third parties include:

  • Suppliers and potential suppliers, including externally hosted applications and software subscriptions
  • Referees and testing providers
  • Professional advisors such as legal advisors, insurers, superannuation funds, accountants, and auditors
  • Financial institutions and external payment systems operators
  • Government agencies, such as Centrelink and the Australian Taxation Office
  • Law enforcement bodies and courts
  • Any other person with a lawful entitlement to obtain the information.
  • Cross-Border Disclosure

We may work with clients, suppliers, and 3rd parties to assist us with the provision of recruitment services to you which may not be based in Australia (Cross-Border Entities). As a result, personal and sensitive information may be transferred to and stored at a destination outside of Australia. It may also be processed by staff operating outside the Australia who work for us. Such staff may be engaged in, among other things, the fulfilment of your orders, the processing of your payment details and the provision of support services. Where possible, Personal Information is encrypted when transferred to a destination outside of Australia and reasonable steps are taken by us and Cross-Border Entities to protect Personal Information in accordance with relevant privacy laws.

By submitting your Personal Information, you acknowledge that your Personal Information may be disclosed to Cross-Border Entities in a country which may not have the same privacy standards that exist in Australia and agree to this transfer, storing or processing. Cross-Border Entities will not be accountable if they handle your Personal Information in breach of the privacy standards that exist in Australia. By consenting to the disclosure of your Personal Information to such Cross-Border Entities, you acknowledge that Principle 8.1 of the APPs does not apply, and you may not be able to seek restitution in an overseas jurisdiction.

How We Store Your Personal Information

The protection of your Personal Information is of paramount importance to us. We take reasonable steps to apply appropriate physical, technical, administrative safeguards, and security measures to protect Personal Information from misuse, loss, and from unauthorised access, modification or disclosure. Rosewood Partners will take all reasonable steps to keep any Personal Information recorded secure.

We limit access to your Personal Information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality. Personal information is stored using local drive storage, and secure cloud storage which includes Access Control policies, Data Encryption, Retention policies, Retention Policy Locks and Signed URLs. 

Communications over the Internet cannot be guaranteed as a completely secure method of transmitting information. Although we will do our best to protect your Personal Information, we cannot guarantee the security of your information and data transmitted through any online means, therefore any transmission remains at your own risk.

We store your Personal Information until it is no longer required for any purpose. We take reasonable steps to delete or de-identify your Personal Information where it is no longer required.

Your Rights

Rosewood Partners takes reasonable steps to ensure that Personal Information we hold is accurate, complete and up to date. You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing. 

Rosewood Partners will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

To protect your privacy and the privacy of others, we may require identification from you before releasing or changing the requested information.

We take privacy seriously and commit to responding to your request within 30 days. If you are not satisfied with our handling of your complaint, you may refer the issue to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or, in some circumstances, the relevant competent supervisory authority.

Updates to this Privacy Policy

Rosewood Partners reserves the right to make changes to this Privacy Policy periodically as required to reflect changes in the law or business practices or technology. We recommend that you visit our website regularly to keep up to date with any changes.

Should Rosewood Partners decide to use your information in a substantially new way, we will notify you based on the e-mail address you provided and offer you the opportunity to opt out of the new use.
